Privacy Policy

This Privacy Policy explains how Tutor Zen ("we", "us") collects, uses and protects information when you use the Tutor Zen mobile app and related services (the "Service"). By creating an account you agree to this Policy.

1. Information we collect

• Account details — name, email address, mobile number and password (stored only as a salted hash). If you sign in with Google, we receive your Google account name and email.
• Tutoring data you enter — students/children, parents, sessions, attendance, homework, feedback, progress, syllabus, broadcasts and messages.
• Voice assistant data — when you use the in-app voice assistant, your microphone audio and the conversation text are processed in real time by our AI voice provider to carry out your request. We also record per-user usage (e.g. call duration and credits) to operate the feature.
• Homework photos — images you capture for the homework-assistance feature are sent for AI text extraction and are not stored after processing.
• Subscription & purchase data — if you buy a paid plan, we receive the plan, purchase token, order id and renewal status from the app store to grant and maintain your subscription. We do not receive or store your card details.
• Notification tokens — a device push token so we can deliver notifications.
• Usage & device data — app interactions, analytics events and basic device/diagnostic information used to operate, measure and improve the Service.

2. How we use information

• To provide core features — managing students, sessions, homework, feedback, syllabus and parent–tutor communication.
• To connect parents and tutors (matching by the mobile number you provide).
• To send in-app and push notifications about your activity.
• To provide, validate and renew paid subscriptions and enforce plan limits.
• To run the voice assistant and homework-photo features you invoke.
• To understand usage through analytics and to run product experiments that improve the Service.
• To secure, maintain, troubleshoot and improve the Service.

3. Voice assistant & AI

The in-app voice assistant is powered by a third-party AI voice provider. Your audio and the resulting text are processed to perform the action you ask for; homework photos are processed for text extraction and not stored afterward. AI features are assistive and may be inaccurate. We do not use your content to train third-party models.

4. Sharing

We do not sell your personal information. Data is shared only: between connected parents and tutors as the features require; with service providers who help us run the Service on our behalf — including cloud hosting, our AI voice/inference providers, the analytics provider (Google Firebase) and the app store's billing system; or where required by law.

5. Data retention & your choices

We keep your data while your account is active. You can edit your profile, delete students/children you manage, and delete your account from within the app (Profile ▸ Delete account). On deletion your account is de-identified and removed from active use; limited records may be retained where required for legal or accounting reasons. Contact us to exercise any additional data rights.

6. Security

Passwords are hashed, traffic is encrypted in transit, and access is restricted. No method of transmission or storage is 100% secure, but we work to protect your data.

7. Children

Tutor Zen is intended for use by tutors and parents/guardians. Children's information is entered and managed by the responsible adult (tutor or parent).

8. Changes

We may update this Policy; material changes will be reflected by the "Last updated" date above. Continued use after changes means you accept the updated Policy.
